Promoting your Event
Please see the appropriate person in your program office or Event Services to enter your event on Carlson School Events Calendar.
To post events being held within the Carlson School or Hanson Hall buildings to the event monitors, Event Monitor Request Forms should be submitted no later than 5 business days prior to the start date of your event.

Licensing Agreement, Insurance and Security
Non-University groups conducting events on campus require a Use Agreement for space utilized (completed by the venue), as well as a certificate of insurance (or purchase TULIP coverage) for their group. Registered Student Organizations (that are not Campus Life) also require a Use Agreement, but are covered under the University's insurance. For events larger than 100 people, additional security may also be required. The User group will be assessed any additional fees.
Custodial
To request additional custodial services (for additional trash containers, for example), fill out the Custodial Services Request Form. (7 days notice is recommended.) Additional charges may be assessed for custodial services depending on the event day or time, building, space reserved, and the number of people attending.
Food and Alcohol (permits required)
No food can be brought on campus for "open" distribution without permission (Food Permit) from Environmental Health & Safety, 626-3904. Allow two weeks for approval process. Coca-Cola has been granted exclusive beverage vending rights on the U of M Twin Cities campus. This contract includes soda, juice, and bottled water. Call 624-7000 for more information.
If you plan to serve alcohol at your event, you must submit an Application to Service Alcoholic Beverages at an On-Campus Event (Form UM23) to the Office of Risk Management (call 624-5884; fax 625-7384 attn Pam Ubel). The form is available at the University Forms Library (type in "alcohol"). Be sure to read the instructions to determine if additional insurance is required. (All Carlson events held at the building must also have approval and signature of a Carlson School Executive Committee member.)
Catering Services/Staging
We may not have separate space to provide staging areas or storage for equipment. However, there are a few smaller meeting rooms located around the perimeter of the Carlson School atrium that may be reserved (space available basis). Users are responsible for providing appropriate floor coverings to protect the carpet in these rooms or assuring that their catering vendors provide the same. Users will be charged for extra custodial services if additional carpet cleaning is required due to lack of proper protection.

Tables or other equipment cannot be placed close to classroom doors blocking access. All fire lanes must remain clear. If you have questions, please contact a Building Services Manager at 624-3842 or 626-9378.

Receiving Dock at Carlson School
Your event coordinator is responsible for receiving equipment and directing set-up. Please call the Zone Administrator for West Bank at Facilities Management at 624-2900. Contact the Building Manager at 624-3842 with specific questions or to check out a parking permit for short-term use. The loading dock is located at the east end of the building.
