Requirements for Reservation

  1. A completed, and signed user agreement fully filled out is required before any reservations for students, staff, or faculty will be made no exceptions. User Agreement Form
  2. IT Student Services must be notified in advance of when the reservation is needed:
  • For 1-5 units of equipment 24 hours notice is required.
  • For 6 or more units of equipment 72 hours notice is required.
  • For any special requirements, including but not limited too, installing software or custom configurations of the laptops a 1-week notice is required. (All special software and hardware configurations will be completed by ITSS staff only)
  • To check out laptops for a class repeatedly over a semester written/e-mail notice is required 1 week ahead of time.
  1. If the equipment is going to be kept overnight (staff and faculty only) it is required to be kept in a secure locked location. If no location can be guaranteed no reservation will be made. All overnight reservations are subject to IT Student Services approval on a case-by-case basis.
  2. Classroom Reservations:
    1. A list of all students in the class, their student IDs, E-mail, and x500 is required prior to a reservation for that class being made.
    2. All students must fill out a user agreement.
    3. The equipment is checked out to a staff/faculty member and they are responsible for the equipment while it is checked out.

Availability

Laptops are checked out and reserved on a first come first served basis. However priority for laptop computer will be given in the following order.

  • Classes requiring laptops
  • Undergraduate students
  • Carlson Staff and Faculty
  • Non-MBA graduate students

To keep equipment available with the exception of classroom use reoccurring reservations (those occurring at the same day/time of the week repeatedly from week to week) are limited to 4 weeks but can be renewed with 1 week notice.

Cancellations
  1. IT Student Services is to be notified as soon as possible if equipment will not be needed. Failure to do so may limit reservation options in the future.
  2. Reservations are for the day and time specified. If they are not picked up on that day the reservation is canceled and that equipment is made available for check out again.
  3. At times IT Student Services may have to cancel reservations due to lack of equipment, equipment repair issues, policy conflicts, or other reasons. ITSS staff will notify the user as soon as that determination is made in order to provide them with time to make other arrangements.
E-mail

Reservations can be submitted via E-mail to IT Student Services. E-mail to csomhelp@umn.edu and include the following information. However a user agreement still needs to be signed before the reservation is made (this form is filled out once a semester).

  • User’s full name
  • User’s X500
  • Contact phone number
  • Equipment needed
  • Date(s) and time requested
  • The length of reservation requested

All reservations are subject to the approval to Carlson IT Student Services, and management reserves the right to cancel or deny reservations to any user.
